Payments Service Policy

Volanti provides two mechanisms through which you can utilise payment services on the platform:
- Payment tracking; and
- Payment processing
These services are provided in addition to the standard services that are governed by the terms of service, and your active subscription which is covered by your subscription agreement. If these terms are deemed inconsistent with either of those documents, the terms outlined within this agreement will apply.
Offline Payments ("Payment Tracking")
Offline payments provide a suite of features for recording the payment for goods and services, as well as receipt generation, package management, and dunning.
We do not charge any fees for offline payments.
Online Payments ("Volanti Pay")
Online payments are available to organisations in all tiers.
Fees
The fees for all of our services are defined in our schedule of fees.
For online payments the charges can be heavily influenced by both the method of payment and the context of payment. These fees are only payable alongside a successful online payment.
Payouts & Processing Times
After processing payments, your funds will be processed by third parties and eventually paid out to your nominated bank account. Banking systems are complicated, and money can take anywhere up to 7 days to transit through the system - this is outside our control.
Additionally, the first payment made to an organisation can take an additional few days for certain checks. That means your first payout could take up to 10 days after your first payment is made.
Payouts to your nominated account will, by default, occur once per week (on a Monday). You are free to change this setting in your account management page. Payouts will be the gross amount of any settled payments, less any accrued fees for processing those payments.
Waived Fees
As online payments increase our costs significantly, it is not possible for these to be waived during your free trial.
Refunds & Void Payments
In the case of payments being refunded, these fees are not refundable. Whilst you may be returning the money to the customer, this return transfer is not cost zero for us.
However, we stand by our commitment to operating a business fairly, so if you find yourself in a situation where you've made a gross error (such as an overly large transaction), we may be able to offer some options with this, so reach out to us.
Disputes
With any card transactions there remains a risk of customer disputes. Volanti will handle as much of the necessary signposting and checks to ensure the chances of a dispute remain low. However, where a dispute occurs, the full disputed amount, along with the administration fee, will be payable by the organisation as defined in our schedule of fees.
These fees and refund amounts will be taken from (1) your bank account; (2) your on file payment method; or (3) future payments via the platform.
Payment of Fees
Fees associated with online payments will be collected immediately. As we're the intermediary we can collect these fees whilst in transit. You'll see these fees listed in your payment summaries.
Where there are outstanding fees after a payment cycle, Volanti may reduce future payouts to cover these costs.
Limitations
Some elements of VolantiPay have limitations imposed for both your security by default, and ours:
- Card payments must be between £5 and £500. You are free to reduce this range via your settings.
- Bank payments must be between £1 and £12,5000. You are free to reduce this range via your settings.
- It is not possible to reduce your payout frequency below weekly
As an organisation account matures and we gather insights into usage, payment volumes, refunds, and risk, we may adjust these limits upwards as and when we deem it appropriate.
